What is Ordamo?
Ordamo is a complete platform for participation bodies, associations, and foundations. It helps you efficiently organize meetings, manage documents, handle requests, and much more.
Who is Ordamo for?
Ordamo is specifically developed for works councils (OR), employee participation councils (MR), associations, foundations, and other participation bodies in the Netherlands.
Do I need technical knowledge to use Ordamo?
No, Ordamo is designed to be intuitive and user-friendly. You don't need any technical knowledge to get started.
How long is the trial period and what happens afterwards?
You get 30 days of full access to all features, including AI. No credit card required. After the trial, choose a plan that fits your organization. Do nothing? You get read-only access to your account: you can resume your subscription at any time.
Which types of organizations is Ordamo suitable for?
Ordamo supports works councils (OR), employee participation councils (MR), client councils, staff representations (PVT), foundations, and associations. Each type has its own legal rules for advice and consent requests, and Ordamo automatically adapts to them.
What happens to our data if we stop using Ordamo?
You always remain the owner of your data. Cancel your subscription? You keep read-only access to your account. You can resume your subscription at any time and pick up right where you left off. All your documents, minutes, and requests stay exactly as they were.
Privacy & Security
How do you secure my data?
We use AES-256 encryption for storage, SSL/TLS for transfer, and our servers are located in Europe. We comply with GDPR.
Who owns my data?
You remain the owner of all content you place on our platform. Dreebro VOF only uses your data to provide the service.
Is my data shared with third parties?
No, we don't sell your data to third parties. We only share data with processors that help us deliver our services (e.g., hosting, payment providers).
Where are your servers hosted?
Our servers are located in the European Union, meaning your data falls under European privacy legislation.
Does Ordamo offer Single Sign-On (SSO)?
Yes, SSO via SAML and OIDC is available for Enterprise plans. Connect your Ordamo environment to your existing identity provider (such as Azure AD or Google Workspace). Your team members log in with their existing company account and you maintain centralized access control. Also useful for organizations with strict password policies.
Can I use my own storage for documents?
Yes, in your organization settings you can connect your own S3-compatible storage provider. Documents you upload: such as minutes, attachments, and meeting materials: are then stored on your own infrastructure, not on Ordamo's servers. This gives you extra control over where your files reside.
Note: this applies to documents and files. Your meetings, requests, user data, and other application data remain in the secure Ordamo database: that data is needed for the platform to function.
Ordamo storage is intended for normal use of the platform. Files are limited to 100 MB each, with a maximum of 10 files and 100 MB combined per upload. It is not intended for general-purpose file hosting or backups. If usage is excessive or disproportionate, we may contact you to agree on a suitable solution, such as upgrading, using your own S3 storage, or another arrangement.

Can I upload and share documents?
Yes, you can upload documents, organize them in folders, and share them with other members. Supported formats include PDF, Word, Excel, and images.
Can I write requests together with colleagues?
Yes, multiple users can work on requests simultaneously. All changes are automatically saved.
Can I assign tasks to team members?
Yes, you can create tasks, assign them to specific members, and track progress.
Can I run pulse surveys or feedback rounds among employees?
Yes, Ordamo has a full participation module. You can set up comprehensive feedback rounds with open questions, rating scales, emoji reactions, or multiple choice. Or choose a quick pulse survey for a rapid temperature check. Responses can be anonymous.
AI analyzes the open-ended answers and pulls out key themes and sentiment. Results are displayed clearly in a dashboard.

Meetings & Minutes
How does recording and transcribing a meeting work?
You record the meeting directly through your browser: no separate recording equipment needed. The audio stays exclusively on your computer and is only processed in memory during transcription. Ordamo never stores the audio file. The moment transcription is done, the audio is gone. Ordamo uses Mistral AI for transcription with speaker recognition. Within minutes of the meeting ending, the raw transcript is ready in your minutes editor, split by speaker.
How does AI generate minutes from my meeting?
From the transcript, Ordamo's AI generates a draft report. The AI structures the minutes by agenda item, summarizes discussions, and highlights decisions taken. You and your colleagues can then refine and edit the draft minutes in the real-time editor. The AI does the groundwork; you stay in control.
Can we work on the minutes simultaneously?
Yes, the minutes editor supports real-time collaboration. Multiple team members can work in the same document at once, just like Google Docs. You see each other's changes instantly and everything is auto-saved. No more emailing versions back and forth.
How does approving minutes work?
Once the minutes are ready, you mark them as 'ready'. All attending members automatically receive a task to approve the minutes. Everyone can approve with a single click. The secretary sees at a glance who has approved and who hasn't. After unanimous approval, the minutes are final and can be exported as PDF.
Requests
What types of requests can I handle in Ordamo?
Ordamo supports all request types: advice requests (Art. 25 WOR), consent requests (Art. 27 WOR), information requests (Art. 31 WOR), and initiative proposals (Art. 23 WOR). Each type follows the correct legal rules.
For example, advice can be answered with 'largely in favor' or 'not in favor', and consent gets a binding vote. The system adapts to your organization type.
How does Ordamo track request deadlines?
For each request, Ordamo automatically calculates the legal deadline based on your organization type and request category. Your task feed shows exactly which deadlines are approaching and who needs to act.
For prolonged inactivity, the system sends automatic reminders: configurable per organization. A missed deadline is flagged and signaled to the involved parties, ensuring a complete audit trail.
Can we vote on requests in Ordamo?
Yes, you can attach a voting round to any request. Works council members vote in favor, against, or abstain. Votes can be confidential (anonymous) or public. You set voting thresholds yourself: for example, a minimum turnout or a qualified majority. The result is automatically calculated and recorded in the audit trail.
Can we control who sees a request?
Yes, Ordamo has comprehensive visibility controls. For each request, choose from presets like Only Me, Works Council, Director, Board and Council, Public, or set a custom restriction. Visibility changes must be approved by the other party, ensuring full transparency about who has access to confidential requests.
AI & Transcription
What does Ordamo's AI do with our data?
Ordamo's AI only uses your data to answer your questions and generate content within your own environment. Your data is NOT used to train AI models: not by Ordamo, not by the AI provider. Your data stays strictly separated from other organizations.
You can toggle AI features on and off per function in your organization settings. You're in control.
How many hours of transcription do I get per month?
The Starter plan includes 10 hours of AI transcription per month. Professional includes 30 hours. Advanced includes 120 hours. Enterprise transcription is unlimited, subject to the applicable agreement and SLA. For an average meeting of 1-2 hours, the included allowance is more than enough for the monthly meeting cycle. You can see your current usage in the dashboard.
Can I bring my own AI provider?
Yes, in your organization settings you can enter your own OpenAI-compatible API key. AI requests then run through your own provider and billing. This gives you extra control over where your data goes and under what terms the AI operates. This option is available on all plans.
Pricing & Plans
How does Ordamo's pricing model work?
Ordamo charges one flat monthly fee per organization: not per user. Everyone in your organization participates for the same price. Plans are tiered by organization size: Starter (up to 60 employees), Professional (up to 250), Advanced (up to 1000), and Enterprise (custom). All plans include AI features and are cancelable monthly. Foundations and associations receive 25% off. See the pricing section on our homepage for current rates. Prices exclude VAT.
Can I switch plans?
Yes, you can upgrade or downgrade at any time. Upgrading gives you immediate access to additional features, with the price difference pro-rated. Downgrading takes effect from the next billing period. You lose no data and the switch is handled automatically.
How does canceling work?
You can cancel with a single click in your subscription settings. There's no notice period: your subscription stops at the end of the current month. You keep full access until then. Afterwards, you get read-only access to your account. Want to subscribe again later? Pick up right where you left off: all your data is still there.
Can I have multiple councils or boards under one subscription?
Each subscription includes one council and board. Organizations with multiple councils or boards need a subscription each, or can contact us for a custom solution.
